Appointments and cancellations
How appointments are booked, and what to do if you need to change one.

Booking
Appointments are booked from a referral sent by your family physician or nurse practitioner. Reception contacts you by phone with the date and time. Please confirm the appointment when you are called, and tell us if your phone number or address changes.
Arriving for your visit
- Please arrive about ten minutes before your appointment to check in.
- Bring your Ontario health card and a current list of medications.
- If you arrive more than fifteen minutes late, the visit may need to be shortened or rebooked so that other patients are not delayed.
Cancelling or rescheduling
If you cannot attend, call reception at xxx-xxx-xxxx at least 48 hours before your appointment so the time can be offered to another patient who is waiting. Leave a voicemail if the clinic is closed; the time of your message counts as your notice.
Late cancellations and missed appointments
Cancelling with less than 48 hours’ notice, or not attending, is charged a $250 fee. The fee is not covered by OHIP and is payable before another appointment is booked. Full details, examples, and exceptions are in the cancellation policy.
Uninsured services
Most consultations are covered by OHIP for patients with a valid Ontario health card. Some services are not insured, such as forms for insurers or employers, copies of records, and late cancellations or missed appointments ($250). A list of uninsured services and their fees is available at reception.
Running behind
Some visits take longer than planned. If the clinic is running late, reception will let you know. We appreciate your patience and apply the same care to every patient.
